Enter staff leaves

When a staff member in your district takes a leave of absence, you can enter the dates and reason for the leave in Aspen. When you enter the leave, you select the accrual type to deduct from.

Note: Create staff calendars and link them to staff members for the system to calculate and deduct leave times accurately.

To enter a record for a staff member’s leave of absence:

  1. Log on to the District, Intermediate Organization, School, or Personnel view.
  2. Click the Staff tab.
    Note: If using the Personnel view, you can also click the Attendance tab to access the Staff Leaves side-tab.
  1. Select the staff member, and click the Attendance side-tab, then click Leaves.
  2. On the Options menu, click Add. The New Staff Leave page appears.
  3. Use the table to enter information in the fields:

    Start date

    Enter the first day of the leave.

    End date

    Enter the last day of the leave.

    Accrual type

    Select the type of accrual bank you want to deduct time for this leave from.

    Reason code

    Select the reason for the leave.

    Substitute > Name

    Click Search icon., and then select the staff member who substituted for the staff member on leave, if appropriate.

    Note: Entering a substitute's name here does not create a staff attendance record or a staff attendance substitute record. See Entering Staff Attendance to track staff member substitute coverage.

    Comment

    Enter a comment about the leave, if desired.

  1. Click Save.
