Manage school associations

In the District, Intermediate Organization and School views, administrators can associate multiple staff members with one or more schools. Administrators can also remove multiple associations between staff members and schools.

Note: To manage school associations, a user must have a role with Create, Read, and Delete privileges for the Staff School Association table. See your Aspen administrator for more information.

To associate staff members with one or more schools:

  1. Log on to the District, Intermediate Organization or School view.
  2. Click the Staff tab.
  3. On the Options menu, click Manage School Associations.
  4. Click Create school associations.
  5. Click the School Year drop-down to select the school year that applies to these associations.
  6. In the Staff box, click one the following to choose the staff affected by this association:
    • Current selection
    • Selection: Select individual staff from the Staff Pick List.
    • Snapshots: Select an existing snapshot from the Snapshots Pick List.
    • All staff
  1. In the Schools box, click Selection to select specific schools from the School Pick List or All schools.
  2. Click OK. A pop-up shows the number of associations created or skipped.

To remove an association between staff members and schools:

  1. Log on to the District, Intermediate Organization or School view.
  2. Click the Staff tab.
  3. On the Options menu, click Manage School Associations.
  4. Click Remove school associations.
  5. Click the School Year drop-down to select the appropriate school year.
  6. In the Staff box, click one the following to choose the staff you want to disassociate from the school(s):
    • Current selection
    • Selection: Select individual staff from the Staff Pick List.
    • Snapshots: Select an existing snapshot from the Snapshots Pick List.
    • All staff
  1. In the Schools box, click Selection to select specific schools from the School Pick List or All schools.
  2. Click OK. A pop-up shows the number of associations that were removed or skipped.
